How Do You Format a Business Plan?

Professional formatting matters—it's the difference between a plan that gets read and one that gets tossed. Learn industry-standard formatting rules for fonts, spacing, structure, and more.

Quick Formatting Checklist

Document Settings:

  • • Font: Arial or Times New Roman, 11-12pt
  • • Line spacing: 1.5 or double
  • • Margins: 1 inch all sides
  • • Pages: 15-25 pages (typical)

Structure:

  • • Cover page with title and date
  • • Table of contents with page numbers
  • • Clear section headings (H1, H2, H3)
  • • Page numbers in footer

Typography & Font Guidelines

Recommended Fonts

Professional Serif Fonts:

  • Times New Roman: Classic, traditional choice favored by banks and formal lenders
  • Georgia: More modern serif with better screen readability
  • Garamond: Elegant, space-efficient

Professional Sans-Serif Fonts:

  • Arial: Clean, modern, universally available
  • Calibri: Microsoft default, professional and readable
  • Helvetica: Sleek, favored for tech/startup plans

❌ Fonts to Avoid:

Comic Sans, Papyrus, Brush Script, or any decorative fonts. They scream "unprofessional." Stick with standard business fonts only.

Font Size Guidelines:

ElementFont SizeStyle
Body text11-12ptRegular
Section headings (H1)16-18ptBold
Subsection headings (H2)14-16ptBold
Sub-subsection (H3)12-14ptBold or Bold Italic
Footnotes/captions9-10ptRegular or Italic

Spacing, Margins & Alignment

Line Spacing

  • 1.5 spacing: Recommended for most business plans. Balances readability with page count.
  • Double spacing: Acceptable for academic or grant applications. Makes it easier for reviewers to add notes.
  • Single spacing: Only use within tables, charts, or executive summary if space is tight.

Margins

  • Standard: 1 inch (2.54 cm) on all sides
  • This is the universal business document standard.
  • If binding your plan: increase left margin to 1.25 or 1.5 inches to accommodate binding.
  • Never go below 0.75 inches—text will look cramped.

Paragraph Spacing & Alignment

Paragraph Spacing:

  • • Space before heading: 12pt
  • • Space after heading: 6pt
  • • Space between paragraphs: 6pt
  • • No extra space within paragraphs

Alignment:

  • • Body text: Left-aligned (never justified—creates awkward spacing)
  • • Headings: Left-aligned
  • • Cover page title: Centered
  • • Table of contents: Left-aligned with right-aligned page numbers

Document Structure & Page Layout

1. Cover Page

Include (all centered):

  • • Company name (large, bold, 24-28pt)
  • • "Business Plan" or "Confidential Business Plan"
  • • Date (Month Year format: "January 2026")
  • • Your name and title
  • • Contact information (email, phone)
  • • Optional: Company logo

No page number on cover page.

2. Table of Contents

Format:

  • • List all major sections with page numbers
  • • Use dot leaders (.......) to connect section names to page numbers
  • • Indent subsections
  • • Page number in footer: lowercase Roman numerals (i, ii, iii) or omit

Example:

Executive Summary ........................ 1

Company Description ...................... 3

Mission Statement ..................... 3

Company History ....................... 4

Market Analysis .......................... 6

3. Main Content Pages

Page setup:

  • • Start Arabic numerals (1, 2, 3...) from Executive Summary
  • • Place page numbers in footer (bottom right or centered)
  • • Optional header: Company name (top left) and "Confidential" (top right)
  • • Each major section starts on a new page

4. Appendix

Format supporting documents:

  • • Label each appendix: Appendix A, Appendix B, etc.
  • • Include title for each: "Appendix A: Market Research Survey Results"
  • • Continue page numbering from main document
  • • Reference appendices in main text: "(see Appendix A)"

Formatting Visual Elements

Charts, Graphs & Tables

Charts & Graphs:

  • • Center-align all charts and graphs
  • • Add descriptive caption below: "Figure 1: Revenue Projections 2026-2030"
  • • Use consistent color scheme throughout document
  • • Label axes clearly with units ($, %, etc.)
  • • Keep charts simple—avoid 3D effects or excessive decoration

Tables:

  • • Use borders or shading to distinguish header row
  • • Alternate row shading for readability (light gray every other row)
  • • Add caption above table: "Table 1: Startup Cost Breakdown"
  • • Align numbers right, text left
  • • Use commas for thousands ($10,000 not $10000)

Lists (Bullets & Numbers)

Bullet Points:

  • • Use for unordered information
  • • Keep parallel structure (all start with verb or all nouns)
  • • Indent 0.25 inches from left margin
  • • Use simple bullets (•) not complex symbols

Numbered Lists:

  • • Use for sequential steps or rankings
  • • Use Arabic numerals (1, 2, 3) not Roman (I, II, III)
  • • Period after number: "1." not "1)"
  • • Align text with first line of item, not number

5 Common Formatting Mistakes to Avoid

❌ Mistake #1: Inconsistent formatting

Switching fonts mid-document, inconsistent heading styles, random bolding. Use styles (Heading 1, Heading 2) to maintain consistency.

❌ Mistake #2: Walls of text

Giant paragraphs with no breaks. Break up text every 4-6 sentences. Use headings, bullet points, and white space liberally.

❌ Mistake #3: Too many fonts and colors

Using 5 different fonts and rainbow colors. Stick to ONE font family, black text, and one accent color (e.g., blue for headings).

❌ Mistake #4: Missing page numbers

No page numbers makes it impossible for readers to reference sections or navigate. Always include page numbers starting from page 1 (Executive Summary).

❌ Mistake #5: Poor table of contents

Manual TOC that doesn't match actual page numbers. Use Word/Google Docs automatic TOC feature so it updates when you edit your plan.
